How do I use a Program Template?

  • Open the Organization library Program page, Program tab
  • Select the Program to which you will apply the Template
  • In the Domain section at the bottom of the page, click SELECTION
  • In the Selection popup window, select the Funding Code to link to the Services
  • Select any Domain you wish to be created
  • Select any Service(s) you wish to be created (Note all Services are checked by default, so un-check any Services you do not wish to use)
  • Click SAVE

The selected Domains and Services will be added to your active Program

The new Domains and Services can now be edited if needed

 

Can I create new Templates?

You can have the existing Template modified by Technical Services. Contact Technical Services to modify any existing Domains and/or Services or to create any additional Domains and Services.

What is a Program Template?

A Program Template is a set of Domains that have already been created and consist of one or more Services. A template exists for each module type.

How do I make an Activity show up on the Group Services page, or on the Service page, etc.?

Activity Type determines the page a Service uses

On the Organization Library, Programs page, Services tab

  • Use the Quick Access Menus to select your Program and Domain
  • Click EDIT next to the Service to update
  • Select Activity Type = GroupService for the Group Services page

Other Activity Types:

  • Service = Services page (also Case Plan page, Services tab, Case Note page at bottom of Case Note popup)
  • Case = Case Note page, Client Note tab (can have only one per Domain)
  • Case Assessment = Case Notes page, Case Assessment tab
  • Referral = allows user to make referral from this Domain Initiative
  • Payment = Payment page
  • Encounter = Encounter page
  • Session = Group Session page
  • GroupService = Group Service page

How do I make a set of questions available on the Enrollment page?

Use the Organization library, Program page, Program tab

  • Click EDIT next to Question

In Edit Questions popup window:

  • Select Question Set to use
  • Make sure it says Yes in Enrollment column

If the Question Set is not displayed, or is not checked for Enrollment:

  • Open the Question page
  • Find your Question Set using the Question Code Quick Access Menu
  • Click EDIT next to Code Definition

In Question Code popup window:

  • Make sure Enrollment is checked
  • Is this code for service setup? Should not be checked
  • Click SAVE
  • Return to Programs page and select this Question Set for your Program

You may have multiple assessments for enrollment for one program

How do I make a set of questions available on the Case Plan page?

Use the Organization library, Program page, Program tab

  • Click EDIT next to Question
  • In Edit Questions popup window:
  • Select Question Set to use
  • Make sure it says Yes in Case Plan column

If the Question Set is not displayed, or is not checked for Case Plan:

  • Use the Question page
  • Find your Question Set using the Question Code Quick Access Menu
  • Click EDIT next to Code Definition

In Question Code popup window:

  • Make sure Case Plan is checked
  • Is this code for service setup? Should not be checked
  • Click SAVE
  • Return to Programs page and select this Question Set for your Program

How do I make a set of questions available on the Case Assessment page?

Use the Organization library, Question page

  • Find your Question Set using the Question Code Quick Access Menu
  • Click EDIT next to Code Definition

In Question Code popup window:

  • Make sure Is this code for service setup? is checked
  • Service pages will be displayed – select Case Assessment
  • Click SAVE

Now open the Programs page, Services tab

  • Select your Program and Domain using the Quick Access Menus
  • Create a Service for your Assessment
  • Click ADD

In Service Definition popup window:

  • Enter or select all required information
  • Make sure Activity Type = CaseAssessment
  • Select Question Code
  • Click SAVE

How do I set up follow up questions for my program?

Use the Organization library, Program page, Program tab

  • Click EDIT next to Question
  • In Edit Questions popup window:
  • Select Question Set to use
  • Make sure it says Yes in Follow up column

If the Question Set is not displayed, or is not checked for Follow up:

  • Open the Question page
  • Find your Question Set using the Question Code Quick Access Menu
  • Click EDIT next to Code Definition

In Question Code popup window:

  • Make sure Follow up is checked
  • Is this code for service setup? Should not be checked
  • Click SAVE
  • Return to Programs page and select this Question Set for your Program

In Program Setup Basic Info:

  • Post Exit Length = how many days after Client Exit the questions will be available
  • The Default = 0

You may have multiple follow up assessments for one program

Can I have Individual focused services in a Household program? Can I have Household focused services in an Individual program?

The Focus Code for a Program determines whether it is a Household program (enter all members of the household into the program) or an Individual program (enter just the applicant into the program)

The Focus Code for a Service determines whether it is a Household service (recorded for all household members) or an Individual service (recorded for only one person)

  • A Household Program can contain Household and Individual Services
  • An Individual Program can contain only Individual Services
